We’re looking for a proactive and reliable R&D Operations Specialist to join our team at IntelliSync BaxEnergy and work directly with our CTO. You’ll be the person who ensures that a fast-moving, remote-first R&D department keeps operating at full speed: from managing internal logistics and bureaucracy, to organizing travel and meetups, to protecting leadership time and streamlining communication.

This role is ideal for someone with a strong background in remote operations, administration, or coordination: someone who enjoys problem-solving, is able to keep things running behind the scenes, and wants their contributions to have a real world impact. This role is fully remote.

What You'll Do

  • Coordinate logistics for engineering and product leadership meetups (quarterly planning, induction, other business)

  • Handle bureaucracy and admin overhead for the R&D department (e.g. expenses, forms, various docs, etc.)

  • Manage R&D meetings and organize the CTO agenda, ensuring meetings are well-planned, non-overlapping, and strategically prioritized

  • Take minutes during key meetings and track follow-ups

  • Interface with other departments (HR, finance, IT) to unblock R&D workflows and reduce friction

  • Identify and drive small-scale improvements to how the remote team operates day to day

Job requirements

  • Smart and gets things done

  • Proven experience managing operations or administration in a remote, fast-moving, and international environment

  • Comfortable organizing travel, tracking expenses, calendars, and managing internal processes

  • Fluent (C1/C2) in English, with excellent written and verbal communication (Italian optional but preferred)

  • Experience working in diverse, globally distributed, remote teams

  • Strong overlap with the CET time zone (at least 4-hours)

  • Eligible to obtain a visa and can travel to Italy within three months of hiring
